No. All applications to attend are subject to a review and prioritisations by your District Manager/Business Unit Manager prior to acceptance. Historically the ACEFA Conference has been over-subscribed so the Conference Organising Team needs to provide a distribution of delegate’s positions across all Districts/Business Units.
When will you need to know my logistical details?
If
your Application to Attend is successful we will seek additional information
about your travel plans dietary and accommodation requirements, as well as
conference stream and activity selections.
The cost of attending the Conference is covered by the Community Engagement Unit. The only cost to Districts/Business Units will be the transportation of approved delegates to and from the Conference venue and any welfare required during travel.
Newcastle is located 163kms north of Sydney and 774kms south of Brisbane. Newcastle is serviced by all main modes of transportation including road, rail and air. The Newcastle Airport is located 26km north of the Conference precinct.
Travel to and from the Conference will be organised by your District/Business Unit in consultation with delegates that receive approval to attend.
Delegates are requested not to arrive at Newcastle until after 14.00hrs (2.00pm) when hotel check in becomes available. The venue will be closed for set up prior to the welcome event. Registration will open at 4.30pm on Thursday 26 May 2022.
Accommodation will be on a twin/triple/quad share basis for both staff and volunteers.
All accommodation venues are located within 1km of the Newcastle Exhibition & Conference Centre. Delegates are encouraged to take the short walk to and from the Conference venue. Disabled parking spaces are available at the Conference venue. Please contact the Conference Organising Team should you require a disable parking space.
Once attendance to the Conference has been confirmed, if you require single accommodation for personal/medical reasons please discuss this with your District office or Business Unit and advise the Conference Organising Team via email (acefa.conference@rfs.nsw.gov.au).
Absolutely. The Conference Organising Team will contact confirmed delegates prior to the Conference seeking rooming preferences. While every endeavour will be made to honour this request it cannot be guaranteed.
If no request is received, you will be accommodated with another delegate from your District (where possible). The Conference Organising Team will be making all attempts to ensure delegates from the same District are accommodated at the same venue.
Delegates will be advised of who they will be sharing with on check in.
Saturday night accommodation will be available to those delegates with significant travel in order to manage fatigue. This will be coordinated by the Conference Organising Team in conjunction with affected Districts.
If for whatever reason you are no longer able to attend the Conference, please contact a member of the Conference Organising Team as well as your District Officer as soon as possible. The Conference is historically over-subscribed and a waiting list will be set up for others wishing to attend.
